Dropdown Fields in Basic Forms

This article explains how to add and configure a Dropdown field in the Basic Form Builder as an editable field for users in the GoCanvas app and Web Client.

Admins and Designers use Dropdown fields to give users preset choices, keeping data standardized while still capturing real-world answers.


Dropdown field

The Dropdown field lets your show a preset list of options, so users can quickly select a value, and you can use Reference Data to keep those lists accurate and up to date.

Add a Dropdown field

To add a new Dropdown field in the Basic Form Builder:

  1. Create a new form using your preferred Basic Form Builder option.

  2. Add or select a Dropdown field using the applicable method:
    • If a field already exists on the PDF: Select the field on your PDF. On the right side, in the Field panel, expand the Type dropdown menu and select Dropdown.
    • If adding a new field: On the left side, in the Add panel, drag a Dropdown field onto your PDF.
  3. On the right side, scroll to the Choices panel.
  4. In the Choices panel, select Start from scratch or Edit a common list
    • Start from scratch to add custom options.
    • Edit a common list to use the following predefined editable options:

      • US State Abbreviations 
      • US State Names 
      • Month 
      • Weekday 
      • Australian State Abbreviations 
      • Australian State Names 
      • Canadian Province Abbreviations 
      • Canadian Province Names 
      • Pass/Fail

    • In the upper-right corner of the Builder, click Save, then Test the field, and click Publish and Assign to users.

Enable User Editable setting

An editable Dropdown field lets users enter a new value when the desired choice is not available, giving you both structure and flexibility.

To make a Dropdown field editable in the Basic Form Builder:

  1. Select an existing Dropdown field on your PDF.
  2. On the right side, scroll to the Choices panel.
  3. Under Default Value, click User Editable to allow users to enter custom values when completing a submission.

  4. In the upper-right corner of the Builder, click Save, then Test the field, and click Publish and Assign to users.

Note

Choices added by users will not appear for other users or in future submissions unless those choices are added again manually.
