Follow-Up Tasks

Follow-Up Tasks give real-time field updates so issues can be addressed quickly with full office visibility. Users in the field can efficiently assign pre-filled Tasks to themselves or another team member to indicate when an issue has been identified and ensure that the issue will be addressed. 

Follow-Ups not only let the field users assign and close out issues on the job, but empower the office to also track and report on those Tasks for full accountability.

Create a Follow-Up

If you have not already done so, please refer to the Help Center article, "What are Follow-Ups?" to ensure that you have completed all required setup steps for implementing Follow-Up Tasks on mobile. To get started, users should launch the GoCanvas app on their Android or iOS device and follow these steps:

  1. Log in to the application.
  2. At the bottom of the screen, tap Forms.

    Please Note

    If you were Dispatched the form to complete, tap Tasks at the bottom of the screen to start the correct Task.

  3. Tap the form tile that contains the Pass/Fail field.

  4. The Assign Task dialogue asks, "Would you like to assign the task to a customer?" Tap Customer to associate the submission with a Customer, or tap Skip to complete the submission without associating it. Cancel is only available on iOS.

  5. Complete the submission as usual. When you come upon a Pass/Fail field, the following options don't open a Follow-Up Task:

    • Pass
    • Yes
    • Compliant
    • N/A

    And the following options do open a Follow-Up Task:

    • Fail
    • No
    • Non-compliant

  6. Select one of the latter options to open the Follow-Up Description window. Complete the following fields to create the Follow-Up Task:

    • Assign To
    • Due Date
    • Photos (up to 10 photos)
    • Comments

    You do not need to complete all four fields to create a Follow-Up Task, but users may struggle without proper context.

    If you need to, tap Edit Follow-Up to reopen the window to make changes.

  7. Complete the remainder of the submission.

    GoCanvas Tip

    In the upper-right corner, tap the ellipsis (...) to open a menu of options. Users can Add Follow-Up Task at any point while completing a submission and/or View Follow-Up Tasks after at least one is created.

  8. Before the Complete Task page, the app displays all Follow-Up Tasks created in the submission.
    • Tap a Task to review it, or in the upper-right corner, tap the + icon to create additional Follow-Up Tasks that are not associated with a specific field.

  9. In the upper-left corner, tap the back arrow.
  10. Adjust desired settings on the Complete Task page.
  11. Tap Submit.

Admins, Designers, and Dispatchers can now manage and track the created Tasks on the Follow-Ups page in the web portal.

Complete a Follow-Up

Any user Assigned to a form with the Pass/Fail field can create a Follow-Up Task, but only users Assigned to the Follow-Up form in the web portal can complete that Task. Follow these steps to complete a Follow-Up Task:

  1. Log in to the application.
  2. On the Tasks tab, locate the Task labelled Follow-Up in the lower-right corner of the tile, and tap it to open the Task.

  3. The Start Task? dialogue asks, "Do you wish to start the task named: [Form Name]?" Tap Review to see the information provided in the Task, or tap Start to begin the Task. Cancel is only available on iOS.

  4. After tapping Start, you will see a Read Only review of the Task prompting you to Tap to view details. Tap the Photo Captured field to Download the photos. Tap Next to continue.

  5. Fulfill the Task and on the Resolution screen, complete these fields to document your work:

    • Photos (up to 10 photos)
    • Comments 
    • Signature * (only required field)
    • Date

  6. Tap Next.
  7. Adjust desired settings on the Complete Task page.
  8. Tap Submit.

Admins, Designers, and Dispatchers can now manage submissions and their Follow-Ups from the web portal.
