This article provides information about how to use the open the Submissions page to view, print, download, and export Submissions.

Once you've entered data into your form, it's time to submit it. It is then sent and stored on GoCanvas servers and can be accessed by logging into the GoCanvas website.


Submission Data

From the Submissions Page

Navigate to the Submissions page. From here you will see:

  • A list of the folders and forms with submissions,
  • The number of submissions,
  • The date and time of the last submission.

On the Submissions page, you can export your submitted data as a Comma Separated Values (CSV) file or XML file by selecting the Export icon.

Once a date range with submissions is selected, more export options will populate on the screen. Select the Form version and the export format, CSV or XML.

Please Note

You can only export submissions for one version of the form at a time. XML exports can only contain 25 submissions at a time.

Include the Device ID in the export file by checking the checkbox. Select Export to start the download.

Selecting the form name will list the individual submissions for that form. This list will display the following information about each individual submission:

  • Submission Date and Time,
  • Submitter,
  • Submission ID,
  • Form Name.

Important Note on Exporting Loop Screen Data

When exporting submission data that includes information captured in a loop screen, it’s important to understand how that data is structured in the export file. Each time a user completes a loop (each repeat of the loop screen), a separate row is created in the exported submission data. This is intentional and reflects how loop screens are designed; there is currently no option to change this format.

To help illustrate this, the images below show an example of how the loop screen is set up in the Builder and how that same data appears in the exported CSV file.

How the Builder is Set Up in this Example

In the Builder screenshot:

  • The screen labeled “Exporting Items Screen” is configured as a loop screen. Its fields are highlighted in green in the screenshot to make it easier to see which fields belong to the loop.
  • The “Client Information” screen is a normal (non-loop) screen with standard fields. These fields are highlighted in blue in the screenshot to show that they do not repeat as part of the loop.

The green and blue highlights are only used in the article images for visual explanation and are not a built-in feature of GoCanvas.

How the Data Appears in the CSV Export example

In the exported CSV screenshot:

  • The data coming from the loop screen (“Exporting Items Screen”) is highlighted in green. Each loop entry appears as a separate row, so if a single submission has three loop items, it will produce three rows in the CSV for that submission.
  • The data coming from normal screens, such as “Client Information”, is highlighted in blue. These values are collected once per submission and therefore appear the same on each row that belongs to that submission.

Again, the green and blue colors are only used in the article to show the difference between loop data and non-loop data. Actual CSV exports will not include any color coding; they will appear as a standard spreadsheet.

This list will also give you the ability to view it online, download it as a PDF, or email the PDF to another person.

In addition, all of the data hosted by GoCanvas can also be accessed via the GoCanvas Web Services API.

Selecting the PDF icon next to the submission you want to view will open the PDF to view it online, on the top right corner you can choose to Print or Download the PDF to your device.c

From the Submitted Tab in Work Hub

Navigate to Work Hub and toggle to the Submitted tab. On this page includes a list of all submissions with:

  • Form name,
  • Submitter,
  • Submission Name/ID,
  • Submission Date and Time.

As on the Submissions page, this list will also give you the ability to view it online, download it as a PDF, or email the PDF to another person.

In Work Hub, you can export your submitted data as a Comma Separated Values (CSV) file or XML file by selecting the Export button in the upper right corner. However, there are a few caveats. If you need to export all submission data, continue exporting from the Submissions page. If you want submission data specifically from dispatches, that can be done from Work Hub on any of the three tabs.

On the next page, leave the Type drop down as Dispatches, choose a data range with dispatches, and select a specific form from the Form drop down. This will then allow the Include Submission Data checkbox to become available. Check this box and select the Form Version before selecting Export in the lower right corner.
