This article explains how to enable the use of Reference Data when creating a Dispatch and the limitations thereof.
Admins, Designers, and Dispatchers can use Reference Data when creating Dispatches to save time and prevent inaccurate data being sent to the field.
Using Reference Data with Dispatch
Enable settings
First, an Admin or Designer needs to enable Dispatch with Reference Data for the form. Follow these steps, regardless of the Account View:
- In the left navigation, click Forms.
- Click the hyperlinked form name or the gear associated with th form to open Form Settings.
- Under the Settings section, locate Dispatch and click Settings.
- Select the checkbox next to Enable Dispatch, if it was not previously enabled.
- Select the checkbox next to Use Reference Data in the Dispatch Manager with this form.
- Click Save.
Create a Dispatch
Once both of these settings are enabled for the form, any Admin, Designer, or Dispatcher can access the Reference Data when creating a Dispatch, either in Work Hub or Projects, and send it to users assigned to the form.
Using Reference Data when creating a Dispatch will behave similarly to how it works when completing a submission. The fields powered by Reference Data will populate automatically when choices are selected from a dropdown list.
Limitations
Keep in mind the following limitations to using Reference Data when creating a Dispatch:
- File Size
There isn't a hard file size limit but having a lot of Reference Data dispatched within a single form may cause page load times to increase, the process to time out, or other issues.
- Static Text
Static Text fields powered by Reference Data will not display when creating a Dispatch.
- Show Duplicates
Duplicates will not show in the dropdown list when creating a Dispatch.
- Checkbox Backdoor
The checkbox backdoor will display as a dropdown list when creating a Dispatch.
- Grouped Reference
- Data
Reference Data that is divided into User Groups will not be available when creating a Dispatch.
- Read Only
Whatever is typed when creating a Dispatch will be displayed to the user, overwriting any defaults or auto-captured data.
- Pre-populated Tables
Information written into a Pre-populated Table when creating a Dispatch will overwrite the pre-populated data in the submission.
