Video fields in the Advanced Form Builder

This article provides details about the Video field, its Field Settings, and limitations.

Admins and Designers can add Video fields to their forms to save field workers times in the field, allowing them to add vital audio and visual context directly to a submission.

Note

The Video field will only ever be in the Advance Form Builder, regardless of the Account or Department is in Core View or Project Management View.


Video

If a picture is worth 1,000 words, videos would probably be worth 1,000 pictures. If a field worker would have previously attempted to explain context using photos and words, videos eliminate that potentially confusing and frustrating limitation.

Add a Video Field

Video fields can be added to an Advanced Form using drag and drop, click to add, or using Smart Field recognition (detailed below), regardless of Account View:

  1. In the left navigation, click Forms.
  2. On the left side of the page, in line with the form you wish to edit, click Edit to open the Advanced Form Builder.
  3. In the center workspace, on any screen, click + Add Field.
  4. Enter "Video" where it says Type field name and Press Enter to add the field.
  5. The field Label can then be hanged to anything else, i.e. instructions on what to capture in the video.
  6. Click Save.
  7. Click Publish and Assign to users.

Please Note

Videos can make submission files larger than normal. We recommend adding no more than three Video fields to ensure that submissions and data upload successfully.

Video Field Settings

The Field Settings available for the Video field are common amongst most fields: Required, Conditions, Show This Field on PDF or Web, Form Visible, and Labels (e.g. field, Export, Receipt, and Submission).

Video fields also have the setting unique to multimedia fields, Allow Unsecured Access.

An Attachment, Photo, and Video Field Setting that allows anyone to access a multimedia file type by the URL in the PDF or in the export file without logging into GoCanvas.

Note

If your Account has HIPAA Compliance enabled, Allow Unsecured Access is prohibited, and is is hidden from the Field Settings.

Accessing videos from completed submissions

GoCanvas securely stores the videos in AWS cloud, the same location as photos. Videos collected in submissions are accessible via a downloadable URL.

Videos can be downloaded from the Standard, Designer, or Custom PDF. The video will appear as a URL in all three PDF options.

Only certain User Roles have the permission to view submissions, and by extension videos, for everyone in the Account or Department. However, Allow Unsecured Access allows anyone, including customers, to access the video file if they are sent the PDF.

Note

The Video field will appear as a URL in the PDF without a thumbnail preview. PDFs do not support streaming videos directly. Additionally, the URL is not a live hyperlink in the PDF Preview, only on the downloaded PDF.

Limitations of the Video Field

Although there isn't technically a limit, the more fields in your form, the greater the risk of submissions getting stuck when attempting to sync in poor coverage. GoCanvas strongly encourages no more than three Video fields per form.

However, a hard limit is file size, limiting videos to 15 seconds in length. This may change as we learn more about usage. It’s a limit we’ve put in place to reduce the risk of submissions getting stuck when syncing in poor coverage. We will update if this changes and by how much.

Videos cannot be streamed directly from the website at this time. We will update if this becomes available. At this time, all videos can be downloaded in an .mp4 format from either the downloaded PDF or clicking View PDF in the Submission Detail page.

And finally, storage and retrieval need to stay within the bounds of what we consider "reasonable use."
