Add Video Capture to a Form in the Builder

Video capture saves field workers time and frustration in the field by allowing them to add vital audio and visual context directly to a submission.

Note

The Video field will only ever be in the Builder, regardless of if you are in the Legacy GoCanvas View or the new GoCanvas Projects View.

If a picture is worth 1,000 words, videos would probably be worth 1,000 pictures. If a field worker would have previously attempted to explain context using photos and words, videos eliminate that potentially confusing and frustrating limitation.

Add a Video Field

Video fields can be added to a form built in the Builder using drag and drop, click to add, or using Smart Field recognition.

  1. Select + Add Field in the center workspace.
  2. Type "Video" where it says "Type field name" and enter to add the field.
  3. The field label can then be changed to anything else, i.e. instructions on what to capture in the video.

Please Note

Videos can cause your submission files to be larger than normal. We recommend not adding more than three (3) video fields to ensure that your submissions and data upload successfully from your users' mobile devices.

Video Field Settings

The Field Settings available for the video field are common amongst most fields: Conditions, LabelsMobile Visible, Required, and Visibility.

Settings unique to the video field are Unsecured Access and Video Source.

Unsecured Access
This Photo and Video field setting allows you to access an image by the image URL exported in the CSV or XML without being logged into GoCanvas.

Note

If your account has HIPAA Compliance enabled, Unsecured Access is prohibited and the toggle is hidden from the Builder.

Video Source
This Video field setting specifies from where the video can be uploaded. At this time, the only permitted source is from the Camera.

Accessing Videos from Completed Submissions

GoCanvas securely stores the videos in AWS cloud, the same location where photos are stored. Therefore, videos collected in a submission are accessible via download from a URL.

Downloaded Designer PDF Submissions Page or Submitted Tab

Videos can be downloaded from the Standard, Designer, or Custom PDF. The video will appear as a URL in all three PDF options.

Users with access to submissions on the portal or via email will be able to download the video but even customers who are sent the PDF can access the video as long as Unsecured Access is toggled on for the field. In other words, Unsecured Access allows people who are not logged into GoCanvas to review the video.

Note

The video field will appear as a URL in the PDF without a thumbnail preview at this time. PDF file types will never permit streaming a video directly in the PDF. Additionally, the URL is not a live hyperlink in the PDF Preview, only on the downloaded PDF.

Limitations of the Video Field

Although there isn't technically a limit, the more fields in your form the greater your risk of submissions getting stuck when attempting to sync in poor coverage. GoCanvas strongly encourages no more than three (3) video capture fields, per form, to start.

However, a hard limit is file size, limiting videos to fifteen (15) seconds in length. This may change as we learn more about usage. It’s a limit we’ve put in place to reduce the risk of submissions getting stuck when syncing in poor coverage. We will update if this changes and by how much.

Videos cannot be streamed directly from the website at this time. We will update if this become available. At this time, all videos can be downloaded in an .MP4 format from either the PDF or the Web View submission.

And finally, storage and retrieval need to stay within the bounds of what we consider "reasonable use."
