Hide Fields on the Standard PDF from within the Advanced Form Builder

This article provides instructions for finding the settings Show This Field on PDF and Show All fields on PDF as well as explanations of each option.

Admins and Designers can determine whether individual fields and its values or an entire screen of fields and its values appear on the Designer or Standard PDF on a submission-by-submission basis.


Field Label and value visibility

Common use cases for these settings include:

Inspections

You only want items that fail an inspection to show up on the PDF.

Calculations

If you needed extra Number or Calculation fields to achieve the correct value, those fields may be unnecessary to share on the final PDF.

Blank Fields

The most common use of this feature is hiding blank fields. If a field is left blank, it may be unnecessary to show that blank field and its Label on your PDF.

Show This Field on PDF

Follow these steps for each field that will only show on the PDF under specific circumstances:

  1. In the left navigation, click Forms.
  2. On the right side of the page, in line with the form you wish to edit, click the Edit icon.
  3. Select the field in the center workspace to open Field Settings in the left panel. 
  4. Expand the Advanced menu. 
  5. Expand the Show This Field on PDF dropdown menu.

  6. Select one of the following options from the dropdown menu:
Always
The field Label and its value will always appear on the PDF, even if it is left blank.
Never
The field Label and its value will never appear on the PDF.
Only if field is not empty
The field Label and its value will only appear on the PDF if the user enters a value in the field. It will not show if the user leaves the field blank.
Only if the default value has been changed
The field Label and its value will only appear on the PDF if the user changes the Default Value.
Only if the default value has been changed & field is not empty
The field Label and its value will appear on the PDF if the user changes the Default Value and does not leave the field blank. It will not show if the user leaves the field blank.
Only to addresses set on the email options page
The field Label and its value will only appear on the version of the PDF sent to the email addresses specified in the Form Setting > E-mail Options.

Don't forget to Save, Publish, and Assign the form to users.

Show all fields on PDF

Follow these steps for each screen that will only show on the PDF under specific circumstances:

  1. In the left navigation, click Forms.
  2. On the right side of the page, in line with the form you wish to edit, click the Edit icon.
  3. Select the screen in the center workspace to open Screen Settings in the left panel. 
  4. Under Standard, expand the Show all fields on PDF dropdown menu.

  5. Select one of the follow options from the dropdown menu:
Always
The field Label and its value will always appear on the PDF, even if it is left blank.
Never
The field Label and its value will never appear on the PDF.
Only if field is not empty
The field Label and its value will only appear on the PDF if the user enters a value in the field. It will not show if the user leaves the field blank.
Only if the default value has been changed
The field Label and its value will only appear on the PDF if the user changes the Default Value.
Only if the default value has been changed & field is not empty
The field Label and its value will appear on the PDF if the user changes the Default Value and does not leave the field blank. It will not show if the user leaves the field blank.
Only to addresses set on the email options page
The field Label and its value will only appear on the version of the PDF sent to the email addresses specified in the Form Setting > E-mail Options.

Don't forget to Save, Publish, and Assign the form to users.
