What are Follow-Up Tasks?

This article is dedicated to the essential aspects of Follow-Up Tasks like Follow-Up Settings, the Pass/Fail field, and the Follow-Up form.

Follow-Up Tasks let you report, assign, track, and close out issues on a job. With Follow-Ups, you get real-time field updates so issues can be addressed quickly with full office visibility.

Note

Follow-Up Tasks are available in both Core and Project Management View for accounts on the Max Plan. This feature is only available in the Advanced Form Builder and only compatible with the Android or iOS applications.


Follow-Up Tasks

Follow-Up Tasks give real-time field updates so issues can be addressed quickly with full office visibility. Users in the field can efficiently assign pre-filled Tasks to themselves or another team member to indicate when an issue has been identified and ensure that the issue will be addressed. 

Follow-Ups not only let the field users assign and close out issues on the job, but empower the office to also track and report on those Tasks for full accountability.

Start using Follow-Ups

Once Follow-Ups are enabled for your account, a couple of noticeable changes will occur in your account.

The first thing you will probably notice is a new page in the left navigation labelled Follow-Ups. To learn more, see, "Tracking Follow-Up Tasks in the web portal."

Follow-Up Settings

If you navigate to the Form Settings page, the second thing you will notice is the Follow-Up Settings block that has been added to the page. Click Settings to turn this setting on for this form.

On the next screen, select the checkbox next to Enable Follow-Up Tasks for this Form and click Save.

Pass/Fail field

The third thing you will notice when Follow-Ups are active in your account is the inclusion of a Pass/Fail field under Choices in the Advanced Form Builder.

Please Note

This field can only be added to one (1) form per Department. Adding this field to more than one form, even if Follow-Ups are not turned on for a form, will give the user an error if they attempt to choose a failing option.

The Field Settings for Pass/Fail are simple and the Advanced menu includes settings that are standard across all forms. The primary difference for this field is that the Choices are static and cannot be edited at this time. The default for a new Pass/Fail field are: 

  • Pass
  • Fail
  • N/A

Pass/Fail will also present as Single Choice Boxes in the Preview and on mobile.

Simply add a new Pass/Fail field to your form wherever it would be relevant, Save, and Publish your form to your users.

Please Note

The Pass/Fail field is not compatible with Lists, Loop Screens, or Tables.

Follow-Up form

The third and final thing you will notice is a new form on your Forms page called "Follow-Up" that appeared after a Pass/Fail field was added to a form.

This form acts as a "sub-form" trigged by the Pass/Fail field on mobile. This contains the additional information your users will collect about the failed item. However, this form is hidden on mobile to reduce confusion for users in the field. This form can only be associated with one (1) form per Department.

Please Note

The form has a lock icon in place of the Edit Form icon because it is not possible to customize the Follow-Up form at this time.

Additionally, if your account has Departments enabled, this form may be missing from any Department that does not yet have a form containing a Pass/Fail field. This Follow-Up form will appear within the Department as soon as a form contains a Pass/Fail field.

Notice

When the Follow-Ups feature is enabled, users on the GoCanvas Windows Desktop application will see a form called Follow-Up. This happens because the desktop app does not currently support the Follow-Ups feature and cannot filter out the form. The only way to remove it is to disable the Follow-Ups feature.

Assign the Follow-Up form to your users

The final step to guarantee that your field users can start using Follow-Ups is to Assign the form to your users. This must be done from the Forms page. Anyone can create a Follow-Up Task, only those who are assigned to the Follow-Up form will be listed as potential recipients of a Follow-Up Task.
