Share Forms with Other Departments

This article provides information about how to share forms with other Departments and copy forms from existing Departments.

Admins configure Departments and control which forms can be shared between them, so one team can securely own and update a form while other Departments use it.


Share Forms with other Departments

Departments in GoCanvas can keep one form that's centrally managed, while multiple teams can use it without creating conflicting copies.

To share forms with another Department, follow these steps, regardless of your Account View:

  1. Expand the dropdown menu at the top of the left navigation and select the correct Department.
  2. In the left navigation, click Forms.
  3. Click the hyperlinked named or the gear associated with the form to open Form Settings.
  4. At the bottom of the page under Actions, click Department Share.Actions.png
  5. On the Department Share page, in line with the Department you wish to share the the form, select checkboxes under Share App and/or Assign to All Current Users.

  6. Click Save.

The original Department has now become the owner of the form. Any edits made to the form in the owning Department will automatically be pushed to all shared Departments. The following settings are controlled by the Department that owns the form:

  • Workflow
  • Dispatch
  • Email Options
  • Reference Data

Copying all forms from an existing Department

Additionally, you can copy forms from an existing Department when creating a new one. When inputting the name and description, select an existing Department from the Copy Forms from an existing Department dropdown menu.

Please Note

By choosing to copy forms and Folders from an existing Department, you are creating duplicate, separate versions.

Department Admins and Designers in the new Department will be able to make changes to the copied forms and Folders. If you do not want anyone in the new Department to be able to make changes, we recommend using Department Share.
