Hand off Inspection

I am aware that you can program where the hand off happens. Imagine a process which goes by shifts where the 1st guy wants to hand off the report so far done to the incoming 2nd guy to finish the report. Here, we really don't know how much of the document is completed by the 1st person by the end of his shift. So we really cannot program a hand off after a specific step because i dont know. Any work around to achieve this?

    Great question! A workaround for this matter would be to allow the next user in a handoff to edit the existing data. This is a setting within the Workflow Options. 

    With this setting enabled, the first user could complete fields during their shift, then proceed to the handoff screen to pass the submission to the next user. The second user would receive the handoff and be able to navigate to earlier screens to add information to blank fields, picking up where the first user left off.

  • So I have a checkbox in a page and proceed to hand off irrespective of where I am at and allow next person to be able to edit the whole file and make him the submitter and thus achieve this? Is this the work around you’re proposed?

  • Howdy Sridhar,

    The workaround involves enabling a particular setting, then performing the handoff with incomplete fields. 

    First, you need to enable to Workflow Setting, 'Next user can edit existing data,' from within the App Settings. I have included an example of the Workflow Settings page below:

    Once this setting has been enabled, any user in a Workflow can navigate to previous screens in an App and add/edit data in a field.

    Next, you would set up Workflow for the App as designed- creating a screen where the handoff will occur. For this example, there are three screens in my Dummy Submission Number App:

    • Work Report
    • Handoff Screen
    • Signature Page

    The first user could start a submission, only completing some of the fields on the Work Report screen. Then, they would navigate to the Handoff Screen, and initiate the handoff to the second user. After receiving the handoff, the second user will start from the Signature Page, but they can navigate back to the Work Report screen and add/edit data in these fields.

    Using this method, the first user can initiate the handoff at any point in the submission, regardless of how many fields they completed on the Work Report screen.

  • Yeah this would work but unfortunately all the work flow comes with default of not having Table of contents active if there is a workflow involved and my app would need lot of forward backward movements.

     

    Quick question will be is will we loose the data when second users keeps jumping back on the screens?

  • Understood! The data that was entered by the first user will remain in each field, unless it is altered by the second user.

  • FYI. If you dispatch data to an app or data is entered by user 1 and their is a conditional branch that allows user 1 to enter data beyond the hand-off point then back track to the hand-off point, the data dispatched and or data entered by user one after the hand-off point will disappear. You need to make user one work all the way through the app before he or she hands off the app to avoid data loss.
