Users have access to all submissions not just their own

    Hi David,

    Have you thought about adjusting your users' roles? Different roles have different access to Submissions. Here's an overview: 

    Company Administrator:

    • Add/remove users/manage user groups
    • Handle billing and payment
    • Design and build apps
    • See all submissions
    • Upload submissions

    Company Designer:

    • Design and build apps
    • See all submissions
    • Upload submissions

    Company Reporter:

    • See all submissions
    • Upload submission

    Company User:

    • Upload submissions
    • See their own submissions

    To edit a user's role, log in as the Company Admin and follow these steps: 

    1. Go to Account>Users.
    2. Click on the username you wish to change.
    3. Click the Edit button next to Profile Information.
    4. Scroll down to the bottom, and change the privilege.
    5. Click Save.

    Editing to add: I realize this may refer to being able to edit someone else's submission from a mobile device. That's being talked about around here, so I'll keep you posted!

    Yes, I want someone to be able to edit someone's else submission and re-submit it for a new submission

    You can only mobile edit your own submissions even as a company administrator.  It would be good to be able to have security groups to put users in and then give them the ability to have access to each others' submissions (and dispatches) (and apps) - even for mobile edit.

    I would not want to see all users have access to all users submissions - especially if there are multiple apps for different roles, etc., but having the ability to control it with groups would be great.

    I disagree with Nathan, when on a service call, our techs have asked that they  be able to see previous submissions from prior calls and I do believe that would be useful.  As to the comment by Sara, I assume this is a option only on the desktop version and not the app?

    Hi Donna,

    Yes, the current user roles apply to the desktop version; so if someone is a company reporter (as opposed to a company user), they could log into the website and see other people's Submissions.

    The new functionality would be to be able to do this from within the mobile App. That is currently on the roadmap, but (as always), the roadmap can change. And, because it's still down the road a bit, I can't speak to any specifics about how it might work. 

    I'll keep this topic updated as I know more.

    Hi Donna,

    To clarify what I was trying to say:

    If a framework existed that allowed users to be assigned to one or more groups and also allowed apps to be assigned to one or more groups, that would provide a great deal of flexibility for companies to decide who they would like to access what.  It would even be nice to be able to enable or disable a group level setting that could allow the users in a group to see all submissions / dispatches / hand-offs / workflow items / reference data / etc within the group or just their own data.  Also being able to choose whether the access was read only or read / write would be helpful.

    In the case of a company with multiple apps and multiple departments or sites, they may not want all users to see all data for various different reasons.  In that case, they could set up multiple groups to use in configuring which users should be able to see or edit which data by app.

    In your case, if you wanted all of your users to see all data, you could just make one group and put all of your users and all of your apps in it and enable all of them to view and / or edit all data.

    That would allow you to accomplish your desired outcome while still allowing other customers that may have different scenarios to accomplish their goals as well.

    Hi Donna,

    We also believe that "it would be very useful to have all of my users have access to all submissions and not just their own my mobile devices" Whilst the suggested features above from Nathan would be great and we would also utilise extensively.

    Please let us know what we would need to do to elevate this within the development roadmap.
