It would be very useful to have all of my users have access to all submissions and not just their own. When different users see different customers they need to fill out a whole submission, while it would be nice if they could pull a previous submission and work off of it.

2024 Update:
The Community is getting cleaned up! If you are stumbling across this post after September of 2024, this is the most recent solution or answer to the request in this post.
This is not planned at this time. This post will be updated if anything changes.
Although viewing all submissions on mobile is not available, there is a role called Company Viewer that allows the user to see all submissions across all users on web without all the other permissions available to Admins, Reporters, etc. if that is a concern.
Outside any new User Roles, this can be worked around today with a little upkeep using Reference Data and Dispatch. Information collected by one user can be added to a Reference Data file, either manually or using GoCanvas Integrations to make it dynamic. The user will then be able to populate the new submission with data collected on the previous house call.
To take an additional step, an admin or dispatcher in the office can pre-fill a submission using Dispatch before the tech is in the field, whether there is reference data attached to the form or not. These can be scheduled for the next job in advance, setting the tech up for success in the future.
Hi David,
Have you thought about adjusting your users' roles? Different roles have different access to Submissions. Here's an overview:
Company Administrator:
Company Designer:
Company Reporter:
Company User:
To edit a user's role, log in as the Company Admin and follow these steps:
Editing to add: I realize this may refer to being able to edit someone else's submission from a mobile device. That's being talked about around here, so I'll keep you posted!
Yes, I want someone to be able to edit someone's else submission and re-submit it for a new submission
Thanks
You can only mobile edit your own submissions even as a company administrator. It would be good to be able to have security groups to put users in and then give them the ability to have access to each others' submissions (and dispatches) (and apps) - even for mobile edit.
I would not want to see all users have access to all users submissions - especially if there are multiple apps for different roles, etc., but having the ability to control it with groups would be great.
I disagree with Nathan, when on a service call, our techs have asked that they be able to see previous submissions from prior calls and I do believe that would be useful. As to the comment by Sara, I assume this is a option only on the desktop version and not the app?
Hi Donna,
Yes, the current user roles apply to the desktop version; so if someone is a company reporter (as opposed to a company user), they could log into the website and see other people's Submissions.
The new functionality would be to be able to do this from within the mobile App. That is currently on the roadmap, but (as always), the roadmap can change. And, because it's still down the road a bit, I can't speak to any specifics about how it might work.
I'll keep this topic updated as I know more.
Hi Donna,
To clarify what I was trying to say:
If a framework existed that allowed users to be assigned to one or more groups and also allowed apps to be assigned to one or more groups, that would provide a great deal of flexibility for companies to decide who they would like to access what. It would even be nice to be able to enable or disable a group level setting that could allow the users in a group to see all submissions / dispatches / hand-offs / workflow items / reference data / etc within the group or just their own data. Also being able to choose whether the access was read only or read / write would be helpful.
In the case of a company with multiple apps and multiple departments or sites, they may not want all users to see all data for various different reasons. In that case, they could set up multiple groups to use in configuring which users should be able to see or edit which data by app.
In your case, if you wanted all of your users to see all data, you could just make one group and put all of your users and all of your apps in it and enable all of them to view and / or edit all data.
That would allow you to accomplish your desired outcome while still allowing other customers that may have different scenarios to accomplish their goals as well.
Yes sir! Agreed
Hi Donna,
We also believe that "it would be very useful to have all of my users have access to all submissions and not just their own my mobile devices" Whilst the suggested features above from Nathan would be great and we would also utilise extensively.
Please let us know what we would need to do to elevate this within the development roadmap.

Has there been any movement on any of this?
This would be very useful for me as well. I really like the table of contents view within the app, it allows my technicians to bounce around the app filling out what they have info for at the time. Sometimes it may take my techs several days on a jobsite to get the work done. With that being said, if i am using the table of contents then i cant use workflows. I need the ability for my supervisor to view the apps that his field guys turn in and make changes and add or subtract things. More than what you can edit online on a desktop.
Hi Cathleen Olson,
I think what you're asking for is solved by the new Assignments feature, but definitely let me know if that's not accurate. With Assignments, the initial tech could do what they need to or can do, then un-assign themselves from a Submission, and let someone else pick up that same Submission. You can do that over and over again until the job is done. Would that work for you?
Hi Sara,
does this mean that ALL users of the app can see ALL users submissions via the mobile app once the submission have been made?
Hi AusReman GOD,
Nope, not yet. What Cathleen had asked for specifically (basically having Handoff functionality with Table of Contents) is now available, but the original request is still not possible. The only time you'd have access to other users' Submissions from mobile is if it's in progress and has either been: a) handed off in a Workflow; b) unassigned from a user via Assignments; c) reassigned to another user via Assignments. Does that make sense?
Ok, thanks for the clarification
Hi Sara, has there been any update to this feature, ie are "ALL users of a particular form able to see ALL users submissions via the mobile app once the submission have been made? or is it only possible using the "Assignments" feature?
Hi Terry!
Currently, the user role can only see their own submissions, but if you would like a user to see all submissions, you can change their role to company reporter in the admin portal. Check out this article for details on user roles and permissions.
Hope this helps!

Was curious about an update for ALL users to see ALL submissions. I have tried changing all the user roles with no luck. I have my husband listed as an admin, which should give him access to all submissions across the board but the only way he can see them is to go on the website, what I call the 'backside'. He still can only see his own while on the mobile app., i.e. iPad or mobile device.
This would be an incredible feature if it is still in the works. Techs could pull the last repairs, etc., and knowing the parts needed before they get to the supply house would be HUGE!!
