Box Metadata

With the standard integration to Box that we provide, GoCanvas is programmatically setting up the transmission of metadata via the Box API. Metadata from GoCanvas is the field labels and the field values associated with your GoCanvas form and PDF document that will be stored in Box.

As an example, both the field label "Customer Name" and the field value entered in the submission, such as "Jane Doe," are considered metadata that can be sent to Box.

Configuring the Integration with Metadata

Adding screens to pass to Box as metadata is a step in the integration configuration. 

  1. Select Add Screen.
  2. Choose a screen for your form that has the fields you need.Form Settings_Integration Options_Box Metadata_Add Screen.png
  3. Repeat steps 1 and 2 as needed.
  4. Save.

Viewing on Box

Directly visit Box's website and login to your account. Find the folder where you are storing GoCanvas PDFs. In the example below, the folder is simply labelled "GoCanvas."

Select the latest submission to view it in Box. To the right of your document, select Info. You will find your metadata under the CUSTOM METADATA section. Scroll down to view everything.

Can I use Box's "Metadata Templates?"

The template cannot dynamically update if fields are edited or added to any of the screen from which you chose to pass metadata. The template would have to be modified each time your GoCanvas form is edited, which is not a scaleable solution. So at this time, we do not recommend using Box's Metadata Templates.

Please Note

Box does not include the metadata feature in all of their plans. For example, if you have either of the free plans you do not have the ability to add additional metadata to your documents. Before going any farther, make sure the plan you are on with Box will display the metadata or not.
