Indicate if a submission has been downloaded

Answered

I think it would be very helpful if there were a way to indicate whether a submission has been downloaded or not.  This would help eliminate some confusion and potential duplication.

  • Hi Charles,

Thank you for your feedback! I'd like to offer a couple of workarounds that may help eliminate confusion regarding which submissions have already been downloaded.

    Submission Statuses workaround

You can use Submission Statuses to track which Submissions have been downloaded by quickly updating the status to 'Downloaded' after downloading the PDF. The two columns are side-by-side and changing the status takes less than a second. There's no automation and involves some manual work on your part, but it's a quick and easy way to help you keep track of downloaded Submissions. Here's how to set this up:

Step 1. From your Apps page, click the name of an App to access its App Settings.

Step 2. Scroll down to find Submission Status, then click Settings.

Step 3. Check the box for Enable Submission Status for this app and then click Add a Status.

Step 4. Name the status 'Downloaded', or any name of your choosing. Click the green check mark, then hit Save.

Once you go back to view your Submissions for this App, you'll see this new Status column right beside the PDF download icons. Simply click 'No Status' beside the Submission you just downloaded and change it to 'Downloaded'.

    Integration workaround

You can integrate directly with Box, Dropbox, or Google Drive and have your Submission PDFs automatically pushed to them. This process is automated and will maintain only one PDF per Submission, which should address your concern regarding duplicates. Then you would simply download the PDF from the integration destination. Here's how to set this up:

Step 1. From your Apps page, click the name of an App to access its App Settings.

Step 2. Scroll down to find Integration Options, then click Settings.

Step 3. Select Integrate for either Box, Dropbox, or Google Drive depending on your preference.

Step 4. Follow the steps provided to set up the integration.

The first Submission created after successfully setting up the integration will show this integration icon under the Quick Links column. You can click on this icon to view additional Submission Integration Response details. It will let you know whether the sync was successful or if an error was encountered.

I hope these suggestions help you minimize confusion and potential duplication of your downloaded PDFs in the meantime! Thank you again for sharing your feedback.

    All the best,

    Siobhan
