Customize exports and have the ability to send different reports to different people

Answered

*Using the information from the submissions that can be exported.

We have techs that would like their payroll hours emailed to them every evening, I would like to be able to set a schedule so the email would go to them automatically and only include the columns I want the to see.  I guess I am looking for the ability to write different reports for different people from the submissions.

The service writer at our main location- - I would send just certain fields for certain techs for them to enter lost time

The service writer at our branch location(s) - I would send similar information as above but for different techs

Each Technician - I would send daily detail showing their labor hours with customer and work order info

The Service Manager I would give a different report for all of the techs that would include some from each of the other reports.

  • Hi Tara,

You could set something like this up using Zapier. It would be a little complex because of the scheduling piece, but you could use their Schedule function to do it. Here's what I'd imagine that looks like:

Zap 1 uses the GoCanvas Submission as a Trigger. The action is to Gmail to create a draft (but not send) the email. In the template, you can set up exactly which fields they should be able to see and in what format.

Zap 2 is a little convoluted (the reason this is convoluted is that you can't just schedule draft emails to send directly from Zapier, which is silly). You want to use Scheduler to run on the schedule you need (so, daily at a certain time). Then you want to add a connection to Gmail to SEARCH for the draft email that you've created. Then you need an Action, which will be to Create and send a new email, where you basically want to map your draft email to this new email. This is the rough outline of that:

You can do that as many times as you need for as many different reports as you need. The other option would be to skip the second Zap, and manually send the draft emails that the first Zap has created. Less time to set up, more time spent on a daily basis.
